1. Who we are
Pro Supply Group LTD (“we”, “us”) trades as BestSolarPanels.uk and is the data controller for the personal data described in this policy. We are registered in England and Wales under company number 15818932.

2. What we are, in plain terms
We are a comparison and introduction service. We do not install solar panels, we do not sell equipment and we do not provide finance. When you complete a quote request we pass your details to a limited number of solar installation companies so they can contact you with quotations. We are paid by those companies for the introduction — see our affiliate disclosure.
3. The personal data we collect
- Quote enquiry data: your name, email address, telephone number, postcode, property type, homeowner status, typical electricity spend, battery interest and any notes you add.
- Estimate data: the indicative system size and savings figures generated from the information you provide.
- Consent records: the wording you agreed to, plus the date and time of your submission, kept as proof of consent.
- Technical data: IP address, browser type, device type and pages visited, collected through server logs and — only where you have consented — analytics cookies.
- Correspondence: any messages you send us by email or through the contact page.
We do not knowingly collect special category data (such as health data) and we do not collect data from anyone under 18.
4. Why we use it and our lawful bases
- Consent (Article 6(1)(a)): passing your details to selected solar installation partners so they can contact you with quotations, and setting optional analytics or marketing cookies. You may withdraw consent at any time.
- Legitimate interests (Article 6(1)(f)): operating and securing the website, preventing fraudulent or duplicate submissions, keeping business records and improving our service. We balance these against your rights.
- Legal obligation (Article 6(1)(c)): retaining consent, accounting and complaint records where the law requires it.
Marketing calls, texts and emails are only made on the basis of your consent, in line with the Privacy and Electronic Communications Regulations (PECR).
5. Who we share your data with
- Solar installation partners: where you have ticked the consent box, we share your enquiry with up to three vetted installation companies covering your area. Each partner becomes an independent data controller for the data it receives and is responsible for its own privacy notice.
- Lead management partners: where an enquiry is routed through an accredited lead distribution partner, that partner processes the enquiry on the same consented basis.
- Service providers (processors): our hosting, database, email and analytics providers, who act only on our instructions under written contracts.
- Professional advisers, regulators and law enforcement: where we are legally required or need to establish or defend legal claims.
We never sell your data to unrelated third parties and we never pass your details to cold callers outside the introduction described above. A current list of partner categories is available on request from info@prosupplygroup.co.uk.
6. International transfers
Your data is normally stored within the UK or the European Economic Area. Where a service provider processes data outside the UK, we rely on UK adequacy regulations or the International Data Transfer Agreement / UK Addendum to the EU Standard Contractual Clauses together with appropriate supplementary safeguards.
7. How long we keep it
- Quote enquiries and consent records: 24 months from your last interaction, unless you ask us to erase them sooner.
- Accounting and transaction records: 6 years, as required by HMRC.
- Website analytics data (where consented): up to 14 months.
- Correspondence: 24 months after the matter is closed.
8. Your rights
- Access — a copy of the personal data we hold about you.
- Rectification — correction of inaccurate or incomplete data.
- Erasure — deletion of your data where there is no overriding reason to keep it.
- Restriction and objection — including an absolute right to object to direct marketing.
- Portability — a machine-readable copy of data you provided under consent.
- Withdrawal of consent — at any time, without affecting processing carried out before withdrawal.
To exercise any right, email info@prosupplygroup.co.uk. We respond within one calendar month and do not charge a fee in normal circumstances. Once your details have been passed to an installation partner you will also need to contact that partner directly to have their copy deleted; we will tell you who received your enquiry.
9. Automated decision-making
The savings estimate shown on this site is generated automatically from the information you enter and published regional data. It is indicative guidance only, produces no legal or similarly significant effect, and does not determine whether you receive quotations.
10. Security
Enquiry data is stored in an access-controlled database with row-level security, encrypted in transit over HTTPS, and is accessible only to authorised administrators. No system is perfectly secure, but we review our controls regularly and will notify you and the ICO of a qualifying personal data breach within 72 hours where required.
11. Cookies
We set only strictly necessary cookies until you consent to more. Full detail, including how to change your choice at any time, is in our cookie policy.
12. Complaints
Please contact us first at info@prosupplygroup.co.uk so we can put things right. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk, 0303 123 1113, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF).
13. Changes to this policy
We may update this policy to reflect changes in our service or the law. The version date at the top of this page always shows when it last changed.
